A member’s plan ends on a Tuesday. Nobody notices. Nobody calls. The member does not come back.
That is how a gym loses money without seeing it. Not to the gym next door. Quietly, one member at a time. One membership is a few thousand rupees, so two or three lost like this in a month is more than any gym software in Nepal costs in a year.
Good software stops that. Bad software is one more bill. This page shows you how to tell them apart before you pay: ten questions to ask any seller, and what a good answer sounds like.
We make Gymastra, so we are one of the sellers. Ask us the same ten.
Only have a minute? Ask question 1 and question 8. One keeps your members. The other keeps your member list yours.

The ten questions
Does it text members before their plan ends, on its own?
This one pays for all the others. A member who gets a text before the last day renews much more often than a member nobody reminds.
A good answer: Yes, by itself, to every network in Nepal. You can see each text that went, and you know what one text costs.
Does it work in Bikram Sambat?
Your members think in BS. If the software only knows AD, someone has to change every date in their head. And a text that says “ends on 1 October” confuses the member it was sent to.
A good answer: Yes. BS on the screen and BS in the text.
Is the price in rupees, and is it the whole price?
Some prices grow after you sign: a setup fee, a charge for each member, a yearly fee, SMS, a machine. A price in dollars also goes up and down, and needs a card that works abroad.
A good answer: One number in rupees for the whole year, in writing, with everything inside it.
Can it record cash, eSewa, Khalti and bank against each member?
Most gyms here take all four. If the software only keeps one total for the day, you still cannot answer “has Bikash paid this month?” without the notebook.
A good answer: Yes. Open a member and you see every payment, and how it was paid.
Does it work with the attendance machine on my wall?
If the machine and the software do not talk, you keep two member lists. And the door keeps opening for people whose plan has ended.
A good answer: They ask for your machine’s brand and model, and then say yes.
Can I run it from my phone?
You are not at the desk all day. The gym should not stop when you step out.
A good answer: Yes. You can see who is running out, renew a member and check today’s money, all from your phone.
Who types in my existing members?
Three hundred members from a register is a week of typing. It is the job nobody wants.
A good answer: They do it for you, from photos of the register or an Excel file, before your first day.
Can I get my data out if I leave?
Your member list is the most valuable thing your gym owns. If you cannot take it with you, you can never leave.
A good answer: A spreadsheet of everything, in a few days, free.
Who picks up when something breaks?
Things break at 6 AM, with a queue at the desk. An email address in another country does not help then.
A good answer: A phone number in Nepal, in your language, during your hours.
Does it bring new members, or only count the ones I have?
People nearby look for a gym on their phone. A website with your hours, plans and a join form is how they find yours.
A good answer: A website comes with it, and people who ask to join from it land in the same software.

Gymastra, software from abroad, or the register
The same ten questions, put to the three ways gyms here run the desk. Ours is first, so you can check it against the other two.
| Question | Gymastra | Software built abroad | Register or Excel |
|---|---|---|---|
| Texts before a plan ends | By itself: 7, 4 and 1 day before, and on the day | Email, or SMS as an add-on | When someone remembers |
| Dates | BS or AD, you choose | Usually AD only | BS, by hand |
| Price | In rupees. Website free, the rest NPR 9,999 for 14 months | In dollars, by card | Free, until a member slips away |
| Cash, eSewa, Khalti, bank | Against each member | Rarely | In the margin |
| Door and attendance machine | ZKTeco: face, fingerprint or card | Depends on the model | No |
| From your phone | Yes, nothing to install | Ask before you pay | The book stays at the desk |
| Moving your members in | We type them, as a founding gym | You type them | – |
| Getting your data out | A spreadsheet in two working days, free | Ask before you pay | It is already yours |
| When something breaks | A Kathmandu phone number | Email, other time zone | – |
| New members | A free gym website with a join form | Ask before you pay | Word of mouth |

What gym software costs in Nepal
Most gym software sold in Nepal costs about NPR 15,000 to NPR 25,000 a year for one gym. SMS is extra. Ask what is inside that number. Some sellers add a charge for each member, a setup fee, or a yearly maintenance fee on top.
Gymastra’s gym website is free, for good. The rest, with the reminders, the door, the reports and all of it, is NPR 9,999 for 14 months for the first 10 gyms, then NPR 14,999 a year. Each text costs NPR 1. There is no setup fee. For a founding gym we type your register in for you. Every line is on the pricing page.
Gymastra is not for every gym.
Be honest with yourself here.
Not for you if
- You are fine finding out a member left three months later.
- Nobody reminds your members to renew, and you are fine with that.
- You are happy guessing how much the gym made this month.
- People train after their plan has ended, and you do not mind.
- You think the register is enough, even when a page goes missing.
- You will buy software and still run the gym from a notebook.
Made for you if
- You want the gym to earn more this year than last year.
- You want members to stay for years, not for one month.
- You want members to love your gym and bring their friends.
- You want to know what you made today, without counting cash.
- You want everyone who trains to have paid.
- You want a bigger gym next year, and a second one after that.
Sounds like you? We made Gymastra for you. The website is free, so the cheapest way to judge is to start free and see.
Questions
What is the best gym software in Nepal?
We think it is Gymastra. We also make Gymastra, so do not take our word for it.
The best one for your gym texts your members before their plan ends, works in Bikram Sambat, has one clear price in rupees, and lets you take your member list with you. Ask any seller the ten questions on this page, us too, and pick the one with the best answers.
How much does gym software cost in Nepal?
Most gym software sold in Nepal costs about NPR 15,000 to NPR 25,000 a year for one gym, and SMS is extra. Gymastra is NPR 9,999 for 14 months for the first 10 gyms, then NPR 14,999 a year. Each text costs NPR 1. The gym website is free.
Do I need gym software if I have fewer than 100 members?
If no member ever slips away because nobody reminded them, no. Most gyms lose a few. One membership is a few thousand rupees, so one member kept for one month pays for the software.
